Record, Transcribe, Polish: The Fastest Way to Write Better Blog Posts

Once ERP and CRM partners see all the potential blog topics around them, the next thing we often hear is, “I don’t have time to write blog posts, and my billable resources certainly don’t either.”


That’s fair. Marketing teams are swamped, and business owners and billable consultants have other priorities. But there’s one tip that can make a big difference, and it’s our most popular one.


The 3-step method: Record, Transcribe, Polish


It’s just 3 steps:


  • Record

  • Transcribe

  • Polish

Step 1: Record

Instead of sitting down at the computer and trying to write, RECORD yourself, or a subject matter expert in your organization, answering the questions that make good blog topics.


When driving to work or taking a walk around the neighborhood, use your phone and record the answers. Schedule a short call with a colleague. Go to a quiet space at an event and record your thoughts on a presentation while it’s still fresh.


Try to stick to just one topic, speak clearly, and explain any acronyms or industry terms that might not be easily understood. This can usually be done in less than 10 minutes, honest.


Step 2: Transcribe 

Then get a transcription of that recording. Today you can just talk directly into your favorite AI tool and get a transcript. Or Teams will do it for you too.


Step 3: Polish 

From there, have someone internally use AI to polish it up. You will never get a great result if you just tell Copilot to “write me a post,” but AI can do a great job of taking your thoughts and improving them. Just be sure to include in your prompt that you want to keep your unique tone and style and not sound like AI.


You can also send the transcription to a writer. The writer doesn’t need to know the industry, because the thoughts are already there.


These types of posts usually have deep content and great keywords that show off your company’s expertise.


Getting your team on board 

That sounds easy enough, but what if your billable consultants have the insights and honestly don’t care much about blogging? Getting the rest of the team engaged is its own challenge, and a solvable one, with the right incentives.


One more thing: posts from our group blog sites are still landing on page one of Google, and today that same well-structured content is what shows up in AI queries.
